Where can I find the latest version of our presentation template? When is the next document review due? With document management, such questions become superfluous throughout the company. Thanks to cross-language versioning, every user can see the documents that apply to them, provided they are authorized to do so!

The presentation of all document management content benefits from the ergonomic overall concept introduced in version 4.0, which makes information easier to read and clearer to display.

Complete data management and control

 

IMS PREMIUM manages data in a wide variety of formats. Whether classic documents such as PDF or Microsoft files, configured content forms, web links or system functions from a networked ERP solution, each element can be versioned and authorizations can be assigned individually. This enables efficient, secure and company-wide information management.

This information can be retrieved via a publication page or the central document management system, which displays all documents available to the user in a structured manner. However, each individual document can also be linked several times at different locations (e.g. process) within IMS PREMIUM and thus called up. If a document is open, “breadcrumbs” (clickable paths) ensure that you can navigate to adjacent levels / folders or documents on the same level with a click of the mouse.

The “Inform” function can be used to send the link to the required document and further information by e-mail to enable information to be directed even more specifically. Automatically generated e-mails and to-do's help with the processing of due checks or workflow tasks. The link contained in the e-mail leads directly to the review or workflow step for the document in question.

Different display formats (with preview, tree display, etc.) can be selected for displaying documents and their groups. The News document type option enables a graphical differentiation from other document groups and thus provides additional organization and clarity.

Configurable forms

 

Regardless of whether a specification, measuring equipment management, guideline management or complex contract templates need to be implemented, the content form is tailored to individual requirements. There are almost no limits to the scope for designing your own forms and document types. In addition to the type-appropriate form fields (e.g. dropdown, calendar for date selection), links to other elements such as other applicable documents or associated processes can also be used. Files can be added using the practical “drag & drop” functionality. In the overall ergonomic concept, care has always been taken to ensure that even new users find it easy to understand and edit the form content of documents.

Practical PDF generation for viewers

 

If the “Create PDF for viewer” function is selected for a Microsoft document, the system automatically creates a PDF for each available language. This makes the manual creation of PDF files superfluous and the user, who only has viewer rights, is shown a non-editable PDF without any additional effort.

Integrated document properties

 

Properties such as creator and creation date can be dynamically transferred to the Microsoft documents added in IMS PREMIUM. This allows information to be seamlessly synchronized between different systems and kept up to date.

Flexible workflows

 

Depending on the document type or department, different approval processes are required. In IMS PREMIUM, individual workflows can be defined and used at the desired locations. Whether the four-eye principle, multi-stage checks or central approval in the department – ​​the design options are diverse.

Collaborative working with WebDAV

 

IMS PREMIUM offers an integrated and collaborative way of working for Microsoft applications using the WebDAV interface. Documents in progress are automatically locked. This prevents content from being changed in parallel or from overwriting unsaved content.

Extensive search and list functions

 

The search in IMS PREMIUM ensures a high-performance listing of search results with various selection options. By restricting it to specific areas, documents or other content such as processes can be quickly found and individually prepared as lists. The full-text search can even be used to search the contents of Microsoft documents.

The proof of use is also practical, as it uses a tree structure to show where the document is used and where it was originally created within IMS PREMIUM.

Flexible permission management/inheritance

 

Authorizations can generally be assigned to all IMS PREMIUM objects. If the IMS PREMIUM Organization module is in use, authorizations can be assigned based on organizational units and positions. This dynamic assignment of rights has the advantage that changes only have to be made in one place and are effective immediately.
