Maintain an overview within an organization. Always know which contact point is where and who is responsible for what.

The organization module provides a comprehensive yet clear overview of the company organization, regardless of which level you are at. The configurable display shows or hides information on jobs, roles and people at the touch of a button. Detailed information such as job description, requirements profile, skills matrix, training and person description are recorded as additional information for the corresponding job and can be displayed or hidden under authorization control. Training and employee evaluations are assigned to the relevant position.

Flexible structures with internal and external offices

 

IMS PREMIUM Organization offers intuitive creation of the organizational chart, regardless of whether a simple company structure or a complex holding structure is to be mapped. Internal or external departments (e.g. suppliers) as well as project groups and teams can be mapped.

Configurable and synchronizable employee information

 

Which employee information is recorded and displayed in IMS PREMIUM can be freely configured. Various field types are available, such as text, selection or date fields. Employee photos can also be easily integrated into the display. Personal and contact information can thus be clearly structured and clearly recorded and reused for display in the organization chart.

This flexible configuration option offers a further major advantage: no matter what information is imported from a third-party system, IMS PREMIUM is always equipped for optimum presentation. For more information on the data interface, see HR Connector option.

Clear management of competencies

 

Competencies can be defined and assigned for each area (e.g. department) and position. The skills matrix can be used to transparently show the different skills of the various employees, positions and areas.

Diverse evaluations with Excel export

 

Who does what within the holding company, the company or the department? The simple search for people, positions and competencies provides the required information quickly and in the desired level of detail. Defining various searchers and search functions is one of the core functionalities of the IMS PREMIUM Organization module. This makes it possible to generate a wide range of evaluation variants, from the telephone list of all employees to the training list. The results can be displayed directly in the browser or downloaded as an Excel file.

Dynamic model for the allocation of jobs, job descriptions and staffing

Jobs can be freely assigned to each organizational unit. For a higher level of detail, different job types with different description fields and structures can be configured (e.g. employee, manager). Once the positions have been filled with employees, target/actual planning can be carried out. Substitutes can also be assigned and evaluated.

Integrated document management

 

With the integrated document management, documents can be assigned and managed for organizational units and positions. The validity period, responsibility and access rights of the documents are clearly regulated. All changes are recorded and archived in the document history. This means that documents and graphics from the existing personnel management system can be easily integrated and used as versioned tools in a traceable manner.

Efficient integration with IMS PREMIUM processes

 

In conjunction with the Processes module, the Organization module enables comprehensive mapping of all process structures. Jobs and people can be assigned directly to the processes and displayed together with the corresponding competencies. The Swimlane process option offers a further way of linking information from the organization chart in a meaningful way.

Company-specific training management

 

With the Training option, training courses can be carried out, assessed, cyclically reviewed and fully documented. In addition to the training description, diplomas, certificates or any other type of document can be assigned directly to the training courses and persons. This increases the efficiency and quality of personnel resource planning.

Automatic data transfer from HR and personnel information systems

 

The powerful interface function IMS PREMIUM HR-Connector offers the option of using personal and organizational information from HR, payroll or personnel information systems. The transferred data is processed in the Organization module and forms the basis for a comprehensive, graphical representation of the company organization. For the data transfer to work, the information from the existing HR system must be made available in a hierarchical form or as an organizational structure.

The advantages speak for themselves:

  • All relevant information is available to all users
  • No additional intranet software required for publishing information from the personnel information system
  • Automated creation of organizational charts, changes are automatically updated
  • Multiple maintenance, data redundancies, incorrect or outdated organizational charts, etc. are eliminated

Technical information and additions for data transfer:
